Sales process - lead to order in Dynamics 365 Sales
Dynamics 365 Sales supports the sales pipeline from first contact to a closed order. The exam often tests the order of records and what each one is for.
The sales flow
| Step | Record | Meaning |
|---|---|---|
| 1 | Lead | A potential customer who has not been qualified yet |
| 2 | Opportunity | A qualified potential sale with estimated revenue and close date |
| 3 | Quote | A priced offer sent to the customer |
| 4 | Order | A confirmed customer commitment |
| 5 | Invoice | The bill for the order |
When you qualify a lead, the system creates an account, a contact and an opportunity. If the lead is not worth pursuing, disqualify it. Opportunities end as won or lost.
A business process flow guides users through stages (Qualify, Develop, Propose, Close) so every deal follows the same steps.
Accounts and contacts
An account is an organization. A contact is a person, who may belong to an account. Both are Dataverse tables used by every Dynamics 365 app.
Product catalog
To put products on a quote you need:
- Products with a unit group
- Unit groups that define units such as piece or box
- Price lists with price list items that set the price per product and unit
- Optionally discount lists
Without a price list, a quote line cannot take a standard price.
Activities and connections
Activities record interactions: email, phone call, appointment, task. They show on the timeline of the related record. A task can be assigned to a user, while an appointment has a start and end time.
Connections relate any two records, and a connection role describes the relationship, for example Stakeholder or Sales Team. Connections do not by themselves grant access to the record.
Insights and forecasting
Sales Insights adds predictive lead and opportunity scoring, relationship analytics and an assistant that suggests next steps. Sales forecasting lets managers and salespeople project revenue for a period from their opportunities. Reports can be views, charts, dashboards or Excel.
Exam traps
- A lead is not yet a customer. Opportunity comes after qualification.
- Connections show relationships. Sharing and security roles control access.
- A quote needs a price list for products, not just the product record.
- Sales Insights is a Sales tool. Customer Service Insights analyzes support data.
- A dashboard combines charts and lists from different tables. A view shows rows of one table.
